Article 1. PURPOSE OF THE PROCEDURE
The purpose of this procedure is to establish rules for receiving and handling reports of violations of law, internal regulations and ethical standards in Papaya Films sp. z o.o. (Papaya Films).
Article 2. SCOPE
This procedure applies to all who perform work or provide services to Papaya Films.
This includes, in particular: employees, co-workers, subcontractors and their employees.
Article 3. DEFINITIONS
1. Whistleblower or You – natural person who reports information about a violation of the law, internal regulations or ethical standards obtained in a context related to work for Papaya Films.
2. Report – information about a violation of the law, internal regulations or ethical standards.
3. Head of People Department – person in charge of the People Department in Papaya Films, person in charge of receiving reports.
Article 4. DESIGNATION OF ORGANIZATIONAL UNIT OR PERSON FOR RECEIVING REPORTS
You can report violations to Head of People Department, as a dedicated unit within the Papaya Films organizational structure.
Article 5. ELECTRONIC SUBMISSIONS OF REPORTS
Submit your report electronically at: https://papaya-films.com/whistleblowing/#/ and keep the 16-digit notification code, which allows further anonymous communication.
Article 6. ANONYMOUS REPORTS
1. You can submit the report anonymously through the above system.
2. Information about violations reported anonymously will be treated with due diligence and will be subject to verification.
Article 7. REPORT RECEIPT CONFIRMATION
Papaya Films will confirm receiving your report within 7 days of its receipt, in the aforementioned electronic filing system.
Article 8. FOLLOW-UP
1. Head of People Department will follow-up with due diligence.
2. These follow-up activities include: verification of your report, further communication with You.
Article 9. FEEDBACK DEADLINE
You will receive feedback in the electronic filing system without undue delay.
Article 10. INFORMATION ON EXTERNAL REPORTS
You can make an external report directly to the Commissioner for Civil Rights Protection or relevant public authorities bypassing the internal reporting procedure.
Article 11. SECURITY AND CONFIDENTIALITY
1. Papaya Films provides internal, easily accessible, secure and confidential channels for reporting violations.
2. Only persons with written authorization from Papaya Films are allowed to receive and verify reports, take follow-up actions and process personal data of persons.
Article 12. REPORT REGISTER
1.Papaya Films keeps a register of internal reports, including:
- Report number.
- Subject of the violation of the law.
- Personal data of Whistleblower and the subject of the report, necessary to identify them (unless the report was made anonymously).
- Contact address for Whistleblower (unless the report was made anonymously).
- Date report.
- Information on follow-up actions taken.
- Date of completion of the case.
2. Information about a given report will be archived for 3 years. After that time, it will be deleted.
Article 13. ADDITIONAL ITEMS
You can also report information about violations of internal regulations or ethical standards of Papaya Films.
Article 14. FINAL PROVISIONS
The procedure enters into force 7 days after its announcement.
